Primary Purpose
This position is primarily responsible for ensuring the timely and accurate preparation of standard and ad hoc statistical, operational, and quality control reports for the Administration and Operations teams (Human Resources, Finance, Information Technology and Supply Chain), United States Refugee Admissions Program (USRAP) quality control team leads in travel, background checks and medicals, among others, and Humanitarian and Development team as needed.

Responsibilities
Data Management and Program Administration (70%)
Prepare routine and ad hoc CWS Africa statistical reports as needed for various CWS Africa staff. Develop, prepare, and distribute routine, periodic, and ad hoc statistical and analytical reports to support the operational, programmatic, financial, and management decision‑making needs of CWS Africa staff. Design, automate, and maintain quality control (QC), validation, and reconciliation reports to ensure data accuracy, completeness, and integrity across program, procurement, and finance systems, and to proactively identify gaps requiring corrective action, training, or system support. Produce performance, productivity, and accuracy tracking reports that analyse CWS Africa operational outputs and efficiency, enabling continuous improvement and evidence‑based planning. Support financial data accuracy and payment controls by preparing and analysing reports that facilitate three‑way invoice matching (purchase order, goods/services received, and supplier invoice), ensuring consistency of quantities, pricing, and approval status prior to payment processing. Work in close collaboration with HR, Finance, Procurement, and IT teams to: Ensure reporting tools operate within current, secure, and supported software environments. Integrate data from procurement, finance, and program systems to enable reliable reconciliation and compliance reporting; and Publish QC, reconciliation, and analytical outputs through user‑friendly dashboards and standardized reporting formats. Ensure all reporting outputs comply with organizational data governance standards, internal control requirements, and applicable donor and audit expectations, safeguarding data confidentiality and appropriate data use. Prepare and automate regular sectional quality control reports to ensure data accuracy and identify training and support needs. Prepare reports designed to track CWS Africa operations’ productivity and accuracy for an overall improvement in efficiency. Analyze historical trends in the levels of activity and spending relating to travel, background checks and medicals in line with CWS and vendor contract terms. Support scenario planning and projections for levels of activity and spending on CWS projects to inform better decision-making and efficient management of CWS program.
Compliance (15%)
Carry out annual inter-departmental process reviews and recommend improvements in quality control. Work closely with Admin and Operations staff to ensure that they have adequate reporting tools available to them to enable their departments meet and adhere to CWS quality standards and policies and procedures.
Representation/Engagement (10%)
Work with other programs teams to assist with their reporting needs, as needed. Serve as the contact person for all inquiries directed to the Data Integrity Supervisor while the Data Integrity Supervisor is on leave. Actively work on and resolve all work requests raised by Admin and Operations leadership.
Additional Responsibilities (5%)
Perform any other duties assigned to improve the operations of CWS Africa.
Experience
Qualifications
A minimum of 5 years paid work experience required Good understanding (2+ years required) of databases and Tableau (or other business intelligence tools like Power BI) Experience using Microsoft Visual Studio 2016 in the context of SQL Server Reporting Services required. Previous experience working within the USRAP is helpful.
Skills
Advanced knowledge in TRANSACT SQL and Microsoft SQL Server database design, stored procedures, views and functions. Advanced computer knowledge, specifically with MS Office (Access, Outlook, Word, PowerPoint). Advanced knowledge in using Tableau Business Analytics software.
Education & Certifications
Bachelor’s degree or four (4) years of directly related experience in lieu of a Bachelor’s Degree is required.

Special Requirements
The candidate should be of good health, willing and able to travel and have a high degree of flexibility. This position is based in Nairobi, Kenya. This position requires use of laptops at all time, competence in Microsoft office packages is required. Background check which includes references and an educational and criminal check is required before the start of employment Physical: This position requires bending, squatting, crawling, climbing, kneeling, sitting, standing, walking, pushing/pulling, handling objects (manual dexterity), reaching above shoulder level, using fine finger movements and lifting/carrying heavy loads. Environmental: Incumbents in this position will be exposed to excessive noise, marked changes in temperature and/or humidity, dust and infectious diseases, harsh weather climates, long work hours, bumpy roads, extended travel, excessive sun exposure, and non-ventilated spaces.
