The Warehouse Stock Controller is the primary custodian of all company inventory, carrying total accountability for the accuracy and efficient management of all materials, including raw materials, finished products, and consumables.**

The role is responsible for designing the logistics framework that ensures factory supply continuity while maintaining absolute integrity of stock records.

The Controller acts as the strategic lead for the warehouse environment, managing the interface between storage and production, holding ultimate ownership of the Stores department, and spearheading the digitization of inventory systems to ensure total operational transparency.**

1. Offloading Strategy & Planning**

Develop and implement daily offloading plans, including labour allocation (internal and third-party), equipment usage, and bay assignments.

Align offloading schedules with incoming truck volumes to optimise turnaround time and prevent bottlenecks.

Pre-assign warehouse zones to ensure efficient space utilization and proper batch segregation.

Establish and enforce standard operating speeds and productivity benchmarks.

  1. Operational Oversight****

Supervise Offloading Clerks and ensure adherence to daily plans.

Monitor real-time performance and intervene promptly where inefficiencies arise.

Resolve operational challenges such as discrepancies, equipment failures, or space constraints.

  1. Inventory Management & Stores Ownership****

Maintain 100% accuracy of stock records for all materials.

Oversee all Stores operations, ensuring:

Accurate tracking of consumables and supplies.

Timely and controlled purchase requests to avoid stock-outs.

Compliance with safety and audit standards.

Investigate and report stock discrepancies in collaboration with Finance and Management.

Conduct weekly and monthly stock counts and reconcile with ERP systems (Sage).

  1. Systems & Process Improvement****

Develop and maintain a centralized digital inventory tracking system (e.g., Google Shared Drive).

Identify process gaps and implement improvements to enhance transparency and traceability.

Develop and maintain Standard Operating Procedures (SOPs) aligned with food safety and quality standards.

Continuously improve warehouse layout, storage systems, and operational workflows.

  1. Production Coordination & Quality Control****

Coordinate with production to prioritize material intake and ensure uninterrupted supply.

Implement stock rotation protocols (FIFO, FEFO, etc.) based on product requirements.

Ensure proper stock handling to prevent delays, losses, or quality issues.

Oversee dispatch processes to ensure accuracy in loading and documentation.

  1. Reporting & Analysis**

Prepare weekly reports on offloading efficiency, labour utilization, and turnaround

times.

Provide daily stock visibility to the Factory Manager.

Track and report stock variances, damages, and losses.

Ensure alignment between warehouse records and ERP systems through coordination

with the Inventory Accountant.
