An international School for new Early Years childhood environment is launching in Nairobi, Kitisuru Area. We provide a purposeful, play-based learning experience for children aged 2–6, designed around curiosity, discovery, independence, and nature. This is our approach to learning. We are looking for an energetic, organised, and warm School Administrator who will be one of the first voices parents hear and one of the first faces families meet. This is a key front-facing role at the heart of how our school runs and how families experience it every day.
About the Role
The School Administrator supports the daily operations, parent experience, and admissions process. You will work closely with the School Head to ensure the school runs smoothly, parents are communicated with professionally, records are accurate, and the front office reflects the warmth and high standards.
This is a founding role. You will be involved before the school opens, helping to set up systems, manage early enquiries, and prepare for a confident launch.

First Months: Key Priorities
As a founding hire, the School Administrator will be expected to hit the ground running. Below are the priorities for the first phases of the role.
Phase - Priority
**Pre-opening - **Set up all school administration systems, records, and communication channels; support the School Head with admissions enquiries and tour scheduling.
Opening - Ensure a smooth, warm, and professional experience for all families on and around opening day; manage the front office confidently from day one.
**Term 1 - **Establish reliable daily routines for attendance, communication, fee follow-up, and parent correspondence; support the first school events and open days.

Term 2+ - Refine and strengthen operational systems; support growing enrolment administration; contribute to a consistently high parent experience.
Key Responsibilities
Parent & Visitor Experience
• Welcome parents, children, visitors, and prospective families warmly and professionally at all times.
• Answer calls, WhatsApp messages, emails, and parent enquiries promptly and with care.
• Ensure every family interaction — in person, by phone, or in writing — reflects our standard.
• Manage parent concerns and requests with maturity, confidentiality, and appropriate follow-through.

Admissions Support
• Schedule and support school tours, open days, and prospective parent visits.
• Support the admissions pipeline from first enquiry through to confirmed enrolment.
• Maintain accurate and up-to-date admissions records and follow-up logs.
• Assist the School Head with enrolment communications and parent onboarding.

School Operations & Records
• Maintain accurate student, parent, staff, attendance, and school records.
• Support daily school operations, supply management, procurement, and logistics.
• Assist the School Head and teaching team with administration, scheduling, and communication.
• Ensure the front office and reception area are organised, welcoming, and professionally presented.

Communication & Parent Engagement
• Draft and send parent notices, reminders, newsletters, and school updates.
• Support fee communication, payment follow-up, and basic financial record-keeping.
• Assist with the coordination of school events, parent meetings, workshops, and community activities.
• Maintain clear, professional, and timely written communication across all channels.

You are a warm, polished, and highly organised administrator who thrives in a fast-moving environment. You are confident with people, strong on follow-through, and genuinely care about getting the details right. You understand that in a school like ours, the parent experience begins the moment someone picks up the phone or walks through the door — and you take pride in making that experience exceptional.
• Strong administrative and organisational skills with excellent attention to detail.
• Excellent written and spoken English; confident across email, WhatsApp, and in-person communication.
• A warm, polished, and professional presence with parents, children, staff, and visitors.
• Strong follow-up and the ability to manage multiple tasks calmly and reliably.
• Good digital skills: email, WhatsApp, Microsoft Office or Google Workspace, and school administration tools.
• High levels of confidentiality, maturity, and professionalism.
• A proactive, solutions-focused attitude.
• Experience in a school, nursery, front office, hospitality, customer service, or premium service environment is a strong advantage.
Qualifications & Experience
• A diploma or degree in Business Administration, Education, Communication, Hospitality, or a related field.
• At least 2–4 years’ experience in administration, customer service, front office, school operations, or a similar role.
• Strong computer literacy and confidence with digital tools.
• Excellent English communication skills, both written and spoken.
• School experience is an advantage but not mandatory. A strong service mindset, excellent organisation, and the ability to learn quickly matter more.
