Please note this is a voluntary, unpaid, part-time role that is fully remote. Hours are fully flexible, but we would be looking for someone who can commit to around at least 6 hours per week.
The International Youth Federation (IYF) is a global non-profit youth organisation network. It is politically neutral and non-denominational, aiming to empower youth worldwide.
The IYF is a global youth network, an organisation advocating for change and connecting countries to knowledge, experience and resources to empower young people across the world. IYF works in over 50 countries and territories, helping to achieve youth empowerment and improve the status of youth.
Under the guidance of the Under-Secretary-General, the ASG assists in fulfilling the Secretary-General’s responsibilities for representational affairs, including the oversight of the five Regional Administrations in MENA, EU, Americas, Asia and Pacific to strengthen international cooperation, performance, accountability and risk management. He/she ensures IYF’s platforms, distribution tools and outreach capabilities are designed to have the strongest possible impact with the broadest possible audience.
The ASG leads efforts to build and coordinate advocacy and outreach from the IYF Representatives around the world, shining a spotlight on situations of importance and ensuring recognition of the IYF’s impact in serving young people, and leads global campaigns on critical issues of priority for the Federation.

Duties and Responsibilities (A) Effectively managing Representational Affairs: • Lead the global efforts on Representational Affairs, by organizing meetings, preparing its documents and assisting the Secretary-General in its work on matters related to oversight, official representation and implementation of policies and procedures; • Oversee the five Regional Directors leading our Regional Administrations, and Central Bureau of Representational Affairs team. • Provide advice on harmonizing policies, business practices and procedures on the provision in managing IYF Representatives across the world; act as the focal point for updating the regional compendium of administrative policies, practices and procedures; • Maintains liaison with heads of HQ divisions and IYF Representatives in Member States, as well other international organizations and external partners on substantive representational issues; • Manages the representative-related correspondence of the Secretary-General and coordinates follow-up across the IYF; • Oversees the preparation of and reviews draft correspondence, official statements and reports for the Secretary-General's signature or clearance; • Maintains liaison with senior officials in IYF’s departments/divisions regarding ongoing programmes and other administrative matters; monitors processes and schedules related to the IYF’s work; and • Ensures smooth and efficient information flow within the IYF; prepares and processes confidential information; assists in the development of Executive Office administrative systems and procedures. (B) Oversight, management and programme support: • Provide analytical and programme support as well as policy advice to the Senior Management Team on the development, management and implementation of IYF policies, procedures and practices; • Provide support and advice to the Secretary-General in its interaction with other intergovernmental, expert and oversight bodies on programme-related issues, as necessary; • Coordinate the evaluation processes with other Regional Administrations in pursuit of integrated global management guides and oversee performance management reporting done by Regional Administrations; • Oversee programmatic/administrative tasks necessary for the functioning of BRA, including preparation, assigning and monitoring of performance parameters and critical indicators, and reporting on programme performance. • Performs other duties as assigned.

Experience Senior International Organization Experience Worked in large, globally distributed organisations (United Nations, NGOs, intergovernmental bodies, federations, European Union, or international youth networks). Experience liaising with multiple countries, regions, or offices. Leadership and People Management Leading senior teams (e.g., Regional Directors or equivalent). Managing cross-functional teams, including both operational and administrative functions. Policy, Governance, and Oversight Developing, harmonising, or implementing policies and procedures. Familiarity with programmatic and administrative oversight at global scale. Representational / Diplomatic Skills Experience with formal representation to governments, international bodies, or partners. Handling official correspondence, briefings, or statements for senior leadership. Programme & Performance Management Monitoring KPIs and critical indicators across multiple regions. Analytical skills to assess programme effectiveness and recommend improvements.
