The Officephase operates a workspace and cowork in Kampala and other cities in East Africa.

The Office Marketing & Shortlet Coordinator is responsible for promoting and increasing occupancy of coworking spaces, private offices, meeting rooms, virtual offices, and short-term rental apartments (shortlets).

The role combines sales, marketing, customer service, leasing, and property coordination to ensure high occupancy rates and exceptional guest experiences.

Role Description This is a full-time, on-site Office Marketing Shortlet Coordinator role based in Kampala, Uganda , .

The coordinator will manage day-to-day office operations for short-term workspace and office rentals, including handling bookings, check-ins, and check-outs, and ensuring that workspaces are well-presented, functional, and client-ready. Key ResponsibilitiesSales & Occupancy ManagementMarket and sell coworking memberships, serviced offices, meeting rooms, and shortlet apartments. Achieve monthly occupancy and revenue targets. Respond promptly to inquiries from prospective clients and guests. Conduct property tours and workspace demonstrations. Negotiate rental terms and membership packages. Convert leads into confirmed bookings and leases. Shortlet Booking CoordinationManage bookings from Airbnb, Booking.com, Expedia, direct website inquiries, and other platforms. Coordinate guest check-in and check-out processes. Maintain booking calendars and occupancy schedules. Ensure accurate reservation records and payment tracking. Handle guest requests and resolve accommodation-related issues. Marketing & PromotionDevelop and implement marketing campaigns for office spaces and shortlet properties. Manage social media platforms and online property listings. Create promotional content including photos, videos, and property descriptions. Coordinate digital marketing activities and lead generation campaigns. Monitor online reviews and maintain strong brand reputation. Customer Service & Guest ExperienceEnsure excellent customer and guest satisfaction. Address client concerns and resolve complaints professionally. Follow up with guests after their stay. Build long-term relationships with corporate and repeat clients. Property & Facility CoordinationCoordinate with cleaners, maintenance personnel, and service providers. Ensure apartments and offices are ready before occupancy. Conduct routine inspections to maintain quality standards. Report maintenance issues and follow up on repairs. Business DevelopmentDevelop partnerships with relocation companies, travel agencies, embassies, NGOs, and corporate organizations. Identify opportunities for long-term leasing and corporate accommodation contracts. Attend networking events and business forums to generate leads. Reporting & AdministrationMaintain booking and occupancy records. Track revenue performance and occupancy rates. Prepare weekly and monthly performance reports. Manage CRM and client databases. QualificationsBachelor's Degree in Marketing, Business Administration, Hospitality Management, Real Estate, Tourism, or related field. Minimum of 2 years' experience in property leasing, hospitality, shortlet management, coworking operations, sales, or marketing. Strong Communication and Customer Service skills to interact professionally with clients, visitors, and internal teams. Proficiency in Office Administration and Administrative Assistance to manage bookings, documentation, and general office operations. Basic Accounting skills to support invoicing, payment tracking, and reconciliation for shortlet and workspace services. Experience managing Airbnb or short-term rental properties is highly desirable.
