THE OPPORTUNITY The Railway Coordinator is responsible for planning and managing rail wagon sourcing and movements in collaboration with Kenya Railways Corporation. The role ensures timely wagon availability, efficient loading and shunting operations, and on-time delivery to customers. It also involves reconciliation of cargo discrepancies (including damaged or broken bags), close coordination with internal and external stakeholders to minimize delays, and maintaining accurate records to support efficient and reliable rail logistics operations. YOUR RESPONSIBILITIES Plan and secure rail wagons in line with loading schedules and customer delivery requirements in coordination with Kenya Railways Corporation. Coordinate timely placement of empty wagons, loading activities, and shunting of loaded wagons for dispatch. Develop and manage wagon movement schedules; proactively identify and escalate delays or bottlenecks. Collaborate with rail yard teams, customers, and internal stakeholders to ensure efficient loading and dispatch operations. Verify cargo quantities and ensure accuracy of shipping documentation and waybills prior to dispatch. Track shipments through to delivery, confirm proof of delivery, and resolve any discrepancies or exceptions. Investigate damaged or lost cargo (e.g., broken bags), determine root causes, and support claims resolution and corrective actions. Maintain accurate and up-to-date records, including wagon allocations, movement logs, manifests, and reconciliation reports. Ensure full compliance with rail operational procedures, safety standards, and company policies. Analyze operational performance (e.g., turnaround times, delays, losses) and recommend improvements to enhance efficiency and reduce costs. Support incident investigations and drive continuous improvement initiatives across rail operations. Conduct regular site visits to rail yards, loading points, and customer locations to monitor operations and resolve issues. YOUR QUALIFICATIONS, EXPERIENCE & SKILLS Qualification & Experience Diploma or Bachelor’s degree in Logistics, Supply Chain Management, Transport Management, Business Administration, or a related field. Minimum of 2–4 years’ experience in rail freight coordination, logistics operations, or multimodal transport environments. Prior experience working with organizations such as Kenya Railways or similar rail systems will be an added advantage. Strong knowledge of wagon types, rail operations, including shunting procedures, and rail documentation processes. Proven experience in handling cargo claims, loss/damage reconciliation, and coordinating with multiple stakeholders (internal teams, customers, and rail operators). Skills & Competencies Strong stakeholder management and negotiation skills, with the ability to build and maintain effective working relationships across internal teams, customers, and external partners. Excellent communication and coordination abilities, ensuring seamless information flow and operational efficiency. High attention to detail, particularly in verification, documentation accuracy, and reconciliation processes. Proficiency in Microsoft Excel and other MS Office applications, as well as experience with logistics and ERP systems. Strong analytical and problem-solving skills, with the ability to make sound decisions under pressure and tight deadlines. Solid understanding of rail safety standards and regulatory requirements within rail transport operations. Valid driver’s license and willingness to travel as required for operational coordination
