The Maintenance Manager is responsible for planning, coordinating, and overseeing all building maintenance, repair, renovation, and facilities management activities at Bishan Plaza. The role ensures the property remains safe, functional, well-maintained, and compliant with operational standards while delivering excellent service to tenants and stakeholders. The Maintenance Manager supervises maintenance personnel, security teams, contractors, and service providers, manages maintenance budgets and inventories, and ensures timely execution of preventive and corrective maintenance programs.
- Building Operations & Maintenance Management
Oversee daily building maintenance, repair, and renovation activities.
Conduct weekly meetings with management, security, cleaning, and maintenance teams.
Supervise technicians, security personnel, cleaners, casual workers, and contractors.
Ensure security teams adhere to approved patrol schedules and reporting procedures.
Monitor building systems including electrical, plumbing, HVAC, lighting, and general infrastructure.
Ensure timely resolution of maintenance issues and emergency repairs.
- Preventive Maintenance Planning
Develop and implement weekly, monthly, and annual preventive maintenance schedules.
Prepare and manage maintenance budgets.
Coordinate site surveys, inspections, and maintenance activities with suppliers and contractors.
Ensure all stakeholders follow established maintenance plans and protocols.
Monitor maintenance performance and recommend improvements.
- Tenant Relations & Communication
Receive, document, and track tenant maintenance requests and complaints.
Prioritize maintenance issues based on urgency and operational impact.
Maintain effective communication with tenants regarding planned maintenance activities.
Ensure maintenance tickets are monitored and resolved within agreed timelines.
Issue building notices and maintenance memos in advance of scheduled works.
- Procurement & Inventory Management
Prepare Bills of Quantities (BQs) for maintenance and renovation projects.
Source quotations from multiple suppliers and evaluate cost, quality, and service levels.
Coordinate purchasing processes and ensure compliance with procurement procedures.
Work closely with administration to manage LPOs, invoices, and goods receipt processes.
Maintain accurate inventory records of maintenance materials and supplies.
Conduct biweekly inventory reviews and replenishment planning.
- Project Coordination & Contractor Management
Coordinate maintenance, repair, and renovation projects from planning through completion.
Liaise with management, suppliers, contractors, and tenants to ensure smooth project execution.
Monitor project timelines, budgets, quality standards, and contractor performance.
Verify completed works before approval of contractor payments.
Ensure compliance with health, safety, and building regulations.
- Reporting & Administration
Prepare daily, weekly, and monthly maintenance reports.
Provide management with project updates, budget forecasts, and maintenance performance reports.
Maintain accurate maintenance records, contractor documentation, and asset registers.
- Track maintenance KPIs and recommend operational improvements.
