Our team is small, hands-on, and proud of how smoothly we run. About the roleWe're looking for someone reliable, detail-oriented, and proactive to become the day-to-day glue of our operation. You'll handle guest communications, help coordinate cleaning and logistics, and keep our systems and documentation in order. This is a long-term role for someone who likes ownership and doesn't need micromanagement — but communicates clearly and follows through. What you'll doCommunicate with guests across booking channels through a centralized Property Management System (PMS), including pre-arrival info, check-in instructions, in-stay support, review follow-ups Communicate with internal staff through WhatsApp Coordinate daily turnover schedules between cleaners and runners Track apartment inventory and trigger restock tasks Flag operational issues early and propose solutions Must-have skillsFluent written English — clear, warm, and professional Strong organizational skills and attention to detail Comfortable with Google Workspace (Docs, Sheets, Drive) Experience with WhatsApp or similar messaging tools for work Self-directed — can manage your own day without hand-holding Reliable internet and a quiet workspace for occasional calls Nice to havePrevious experience in short-term rentals, hospitality, or property management Experience with PMS or channel manager tools (Hostaway, Guesty, etc.) AI tool fluency — using Claude / ChatGPT to draft, summarize, or translate efficiently You'll thrive here if you areCalm under pressure (guest issues happen at odd hours) Empathetic with guests but firm when needed A proactive communicator — over-communicates rather than under Open to feedback and continuous improvement Schedule & availabilityFlexible hours, but you must be reachable during guest check-in/check-out windows (Estonian time, EET/EEST). Some weekend availability required.
